What should I set up first?
Add your business details, GST settings, labour rates, payment terms and document theme. Then add the price book items you use most so the first quote uses real costs and sell prices.
Where do I start a new quote?
Choose New quote, add or select the customer, enter the job and site details, then build the scope and priced lines. Keep it as a draft until it is ready to finalise and send.
Can I use AllQuote before connecting accounting?
Yes. You can set up customers, quotes, jobs and invoices before connecting accounting. Connect it later when you are ready, then choose which supported records AllQuote should sync.
How do I add customers?
Add a customer while creating a quote, or create the customer in Contacts first. Search before adding a new record so quotes, jobs, invoices and messages stay under one customer history.
How do I invite staff?
Open Business Settings, then Team. Invite the person by email and set the role and permissions they need. Add their trade, rates and job access before allocating work.

How do I build a quote manually?
Manual quoting is available on Free. Open New quote, choose the customer and site, then add scope, labour, materials, discounts, deposits and terms. Reusable assemblies are available on Crew and above. Check each quantity, cost, sell price, margin and GST treatment before finalising.
Where do quote prices come from?
A quote uses the labour rates, price book rows, supplier costs, markups and sell prices your business selects or enters. Reusable assemblies require Crew or above. Keep source prices current and review the result before it reaches the customer.
Does the quote editor autosave?
Yes, while the quote is a reviewed draft or finalised. After you pause on a change, the editor saves the settled edit and shows Saving, Saved or an error. Sent, accepted and needs-review quotes use explicit Save, and every priced row needs a description. Autosave does not finalise or send the quote.
How do I finalise and send a quote?
Use the explicit Finalise action when the draft is ready, then use Send for the customer copy. A saved draft is still a draft, and editing or autosaving does not send it for you.
Can I reuse assemblies and price book items?
Yes. Saved price book rows can be used in manual quotes, while reusable assemblies require Crew or above. Check the inserted description, quantity, cost, sell price, GST treatment and customer-facing breakdown.
What should I check before sending?
Check the scope, quantities, labour hours, material costs, margin, GST, deposit, expiry, payment terms and customer PDF. Finalise only when the customer version is ready.

Which plan includes takeoffs?
The takeoff suite requires Business or above. It covers calibrated PDF and image measurement, review-first detection tools and takeoff-to-quote insertion.
Do I still need to check the plan scale?
Yes. AllQuote can look for scale information, including a usable scale in the title block, but you must confirm it. Calibrate the page manually when the detected scale is missing or wrong before measuring.
What can I measure manually?
Use the direct tools for areas, line runs, perimeters, volumes and deductions, and use Marker for counts. Keep the markup on the plan, name it clearly and correct the geometry before using its quantity.
What does lasso multi-select do?
Draw a lasso around related markups to select them together, then use the available group actions. Lasso changes the selection only; it does not work out pitch or depth.
When does takeoff ask for pitch or depth?
Pitch and depth are separate measurement details. When the chosen measurement needs one, AllQuote prompts for the value so you can review the resulting quantity before accepting it.
How does Pattern Search work?
Sample a representative hatch or texture and run Pattern Search. Choose Review creation, inspect the proposed matches, then choose Confirm create areas for the correct candidates. The flow has no match-tuning controls to set first.
How does Smart Select fill a room?
Choose Smart Select and click inside a bounded room or surface. It proposes a fill without setup controls. Check the boundary, correct it if needed, then choose Use selection.
How does auto-count find repeated symbols?
Select an example symbol and run auto-count. Review the proposed matches, reject anything wrong, then choose Add approved before naming or mapping the count row.
What can I do from the takeoff right-click menus?
Right-click a measurement to edit or duplicate it, work with deductions, convert an area to a pitched area with a Roof pitch prompt, or delete it. Right-click blank canvas for paste, select-all, tool, zoom and overlay actions; right-click a ledger row to zoom to placements, rename it or change its linked material. On touch, long-press the same target.
When is Review surfaces available on a vector plan?
Review surfaces appears only when vector-plan detection finds named surfaces in a plan legend. Check the extracted names and geometry before confirming them. Confirmation creates editable, unpriced area measurements. If the legend has no named surfaces, use the normal measurement tools.
How do overlay and revision floors work?
Add the revised floor as an overlay or revision, align it with the earlier plan and compare the change. Keep the source floors separate and review affected measurements before updating the quote.
How do takeoff quantities become quote lines?
Review the measured ledger, map selected rows to price book items or assemblies, check the calculated quantities and pricing, then insert the approved rows into the quote. Recheck margin and GST before sending.
How do I export the marked-up plan to scale?
Use File, then Export PDF (to scale). The measurements and markup are drawn as vectors onto the original plan sheet at its own size, with a scale bar on every calibrated page, and only sheets carrying measurements are included. Print or plot at 100%, sometimes called Actual size: Fit to page shrinks the sheet so a scale rule no longer reads true, although the drawn scale bar stays correct at any size. An uncalibrated page is exported marked NOT TO SCALE with no scale bar, an uncalibrated image plan is left out because its real sheet size cannot be worked out, and a calibrated image plan is placed on a synthesised sheet at a standard ratio, bounded by A0.

Scheduling and dispatch

Where do I schedule jobs?
Use the Jobs calendar for date-based planning, or open the job and update its schedule and crew. On Team and above, Business Planner adds a daily allocation view for crew and equipment.
What is Business Planner?
On Team and above, Business Planner is the dispatch board for allocating crew and equipment to the day's jobs. Use its snapshot or calendar view to manage assignments.
Can I see live crew locations?
On Team and above, Crew map shows opted-in crew locations, active job sites, stale markers and dispatch context. Location sharing remains controlled by each worker and the business settings.
How do repeating jobs appear?
Service agreements and repeating jobs create scheduled visits from their recurrence rules. Concrete visits appear in the calendar, jobs and planning views when due.
Can I dispatch urgent work?
On Team and above, dispatch and Crew map can find opted-in nearby crew and send pings where enabled. A location can be stale or unavailable, and a ping is not an assignment: an Office dispatcher must confirm the worker, job details, licence requirements and schedule.

Jobs and money

Track job costs, WIP, claims, retentions, invoice changes and refunds.

What is in a job's Money tab?
The Money tab brings the job's quote, invoices, recorded costs and available money controls together. Depending on the plan, it also links to job costing, progress claims, retention registers, amendments and refunds.
What do committed, actual and invoiced mean in job costing?
Committed is approved or ordered spend not fully realised yet. Actual is cost already recorded against the job. Invoiced is customer revenue already invoiced. Check the source records when a figure looks wrong.
How do forecast and variance help?
Forecast records the latest expected final position using current job data and authorised overrides. Variance shows how that position differs from the quoted or planned result. Review both when costs or scope change.
Which plans include WIP and job profitability?
Team and above include the basic WIP and job-profitability view. The accountant-grade WIP report and the deeper Job Costings workspace require Business or above.
How do progress claims work?
Progress claims are available on Team and above. Set up the claim schedule against the job, raise the next claim, review the amount and any retention, then issue its invoice when it is ready.
What is a retention register?
On Team and above, a retention register tracks money held and released for a job. Link it to the job and, where used, the progress-claim schedule so claim retention and release history stay together.
Where do I amend an invoice or start a refund?
Open the invoice or its job and use the same amendment-or-refund decision flow. Choose whether you are correcting the invoice record or returning money, review the preview, then confirm the right action.
Can I edit an old amendment or refund?
No. Confirmed amendments and refunds stay in an immutable history. If another correction is needed, record a new event so the original decision and the follow-up remain auditable.
How does AllQuote stop an over-refund?
A refund is capped at the refundable amount left on the invoice or payment. The flow also shows accounting-sync awareness when a connected record may need attention. Check the cap, provider result and sync status before treating the refund as finished.

Team and field app

What can a Field user see?
A Field user sees allocated work and the tools allowed by the business plan, role and permissions. Office-only billing, broad reporting and business settings stay out of the Field role.
How should workers record time?
Open the allocated job or timesheet action, record the real start, finish and breaks, then submit it against the correct job with useful notes. Location or clock suggestions still need review.
How does the office review timesheets?
Filter Timesheets by date, worker or job. Check clocked time, allocation, breaks, notes and discrepancy details, then correct, return or approve the entry before using it for billing or payroll preparation.
Which plan includes inventory scanning and multi-location stock?
Barcode inventory scanning and multi-location stock require Enterprise. Team and above include the stock register, but not that scanning and multi-location workflow.
What is the difference between equipment service due and booked?
In the Team-and-above service tracker, Due means the equipment has reached its service rule. Booked means a service booking has been recorded. A booking does not mark the service complete; update the record when the work is actually done.
Can workers complete equipment prestarts on mobile?
Yes, on Team and above. Open the equipment prestart in the field app, answer the checklist and complete it. The same completion is available to the office for the equipment and job.

Stock and supplier ordering

How do I add stock?
On Team and above, use Stock to add an item manually or add it from a price book row so the SKU, supplier, cost and sell price stay linked.
How does barcode scanning affect stock?
Barcode scanning requires Enterprise. Depending on the selected mode, a scan receives, transfers or uses stock; using stock on a job books the material against that job's costs.
Can stock quantities sync to accounting?
AllQuote keeps operational quantities. Accounting packages usually receive money records and supported item lists, not every scan or quantity movement.
How does Reece work in AllQuote?
On an eligible plan, connect the business's Reece maX account to use the supported account pricing, product search, branch quote, invoice and purchasing tools. AllQuote does not place an order until an authorised user confirms Send Order to Reece.
How do I order from a supplier?
On Team and above, create or open the purchase order and review its quantities, supplier, prices, job link, and delivery or pickup details. Use the supplier-specific preview, check or submit actions where available.

Compliance

Manage equipment prestarts, SWMS cadence, licences and auditable records.

Is AllQuote legal or safety advice?
No. AllQuote records work and supports workflow checks. Your business remains responsible for the SWMS, licences, safety decisions and regulator requirements that apply to each job.
Where do equipment prestarts live?
On Team and above, open an equipment item and use its Prestarts tab. Compliance shows a read-only mirror across equipment so the office can review the same attached templates and completion history.
Can equipment have more than one prestart checklist?
Yes. Attach more than one prestart template to the same equipment, and complete multiple checklists for that equipment on the same job. Each completion keeps its own answers and history.
Is a signature required on every prestart?
No. The template creator chooses whether that prestart asks for a signature. When signature is optional, the worker can complete the checklist without signing it.
Do workers enter the prestart date and time?
No. AllQuote automatically records the date and time on the completion. Workers should answer the checklist for the work they are doing rather than typing a timestamp into the form.
How do I complete a prestart in the field app?
Open the equipment prestart, answer the attached checklist, add a signature only when the template calls for one, then complete it. Confirm the completion has synced before relying on the office mirror.
Can I upload an existing PDF as a prestart, checklist or form?
Yes, on Team and above. In Compliance Hub > Checklists, use Upload PDF prestart/checklist; under Custom forms, use Upload PDF form. Choose Acknowledge only or Fill, draw and type, then check Require signature only when the template creator wants one. An uploaded PDF prestart can be attached to equipment and later opened with Edit PDF template from its Prestarts tab.
What happens when a PDF form or prestart is completed?
In a phone browser, Acknowledge only requires every page to be reviewed before acknowledgment, while Fill, draw and type provides Ink, Text and Check tools for marks, typed notes and checkmarks. Each completion locks its own tamper-evident archived PDF record copy, including completion details and any supplied signature, while the original template remains unchanged.
How often can a SWMS be required?
On Team and above, check Require a signed SWMS, then choose the Cadence: Once per job, Once per task or Once per day. Leave the required checkbox clear for Elective only. Warning or blocking enforcement at clock-on or task start requires the Enterprise safety compliance gate.
Where do I track licences and compliance gates?
Enterprise includes the licence and certification register plus safety compliance gates. Record licence numbers, expiry dates, workers and evidence, then choose the configured warning or blocking mode for supported steps.

Integrations

Connect accounting, choose each sync feature and understand when records move.

Which accounting packages can I connect?
Team and above can connect Xero, QuickBooks or MYOB. The owner must authorise the right organisation and the provider must support the records selected for sync.
What do I choose when connecting accounting?
Use the per-feature selector to choose the supported records AllQuote should sync, such as invoices or other available record types. Review the choices before finishing the connection instead of assuming every feature is on.
Can I change the accounting sync choices later?
Yes. Open Business Settings, then Connections, and reselect the features for the connected provider. Save the selection and review the next sync result.
Is the selector the same for Xero, QuickBooks and MYOB?
Yes. The per-feature selection and reselection flow works in lockstep across Xero, QuickBooks and MYOB. Provider authorisation and supported records still apply. Payroll compatibility is separate and can differ by provider and region, including QuickBooks in Australia.
When does an invoice auto-push to accounting?
When invoice sync is selected and push mode is Automatic, an issued or finalised invoice can auto-push. In Manual mode, issued or finalised-ready invoices queue for review and push instead. Draft invoices never auto-push. Check the invoice status and sync result before assuming it reached accounting.
What should I do when a sync fails?
Open the affected record or connection, read the error, fix the mapping, permission or provider issue, then retry. Check for an existing provider record before creating another one so you do not make a duplicate.

Billing and plans

Where do I see current plan prices?
Use the public pricing page for current plan prices, included features and limits. The FAQ does not repeat prices because they can change.
Why is a feature locked?
Access can depend on the plan, business feature settings, role permissions, subscription state or a connected provider. Check Billing and Business Settings, then confirm you are in the right business.
Which plan do I need for takeoffs?
The takeoff suite requires Business or above. Check the pricing page for the current inclusions and limits before changing plan.
Which plans include the new money and compliance tools?
Team and above include accounting sync, progress claims, retention registers, equipment prestarts, SWMS and equipment service tracking. Business and above add the deep Job Costings and WIP workspace. Enterprise adds enforced safety compliance gates.
Who can change billing?
Subscription changes are owner-level actions on the website. Team members only see or manage billing when their role and business permissions allow it.
